This notice explains how SBO Virtual Services ("we", "us") collects and uses personal data through sbovirtual.com and our services. We are the data controller for the personal data described here — we decide why and how it is processed.
Personal data we collect
- Contact and enquiry data — your name, email address, the primary need you select, and the message you send through our contact form.
- Booking data — your name, email address, chosen call slot, and any notes you add when booking a discovery call.
- Customer and subscription data — your name, email address, the plan you bought, its status, and renewal dates. Card and billing details are collected and held by Paddle, not by us.
- Service delivery data — the files, calendars, inboxes, documents, and account information you ask us to work with while delivering your retainer.
- Technical data — IP address, device and browser information, and basic usage or telemetry generated when you visit the site.
Why we use it, and our legal basis
- To respond to enquiries and schedule calls — necessary to take steps at your request before entering a contract.
- To provide and administer the services you purchase, including renewals and support — performance of our contract with you.
- To keep the site and our systems secure and prevent fraud — our legitimate interests.
- To improve our services and understand how the site is used — our legitimate interests.
- To send marketing messages, where we do so — your consent, which you can withdraw at any time.
- To meet accounting, tax, and other legal obligations — legal obligation.
Who we share it with
- Service providers and subprocessors — hosting, database, and email delivery providers that operate our website and notifications on our instructions.
- Paddle, our Merchant of Record, for the sale of our products, subscription management, payments, invoicing, and tax compliance.
- Professional advisers — legal and accounting advisers, where needed.
- Authorities — where we are required to disclose by law.
We do not sell your personal data.
International transfers
Our providers may process data outside your country, including outside the UK and EEA. Where that happens, transfers are protected by appropriate safeguards such as UK/EU Standard Contractual Clauses or an adequacy decision.
How long we keep it
Enquiries and booking records are kept for up to 24 months after our last contact. Customer and subscription records are kept for as long as you are a client and then for up to seven years to meet accounting and tax obligations. Service delivery materials are returned or deleted within 30 days of your request after your retainer ends. When data is no longer needed it is deleted or anonymised.
Your rights
Depending on where you live, you may have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, to portability, and to withdraw consent at any time. To exercise any of these, email hello@sbovirtual.com; we will respond within one month. If you are in the UK or EEA, you also have the right to complain to your local data protection supervisory authority.
Security
We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and least-privilege access to client systems. No method of transmission or storage is completely secure, but we review our measures regularly.
Cookies
We use strictly necessary cookies and local storage to make the site work and to keep it secure. Our payment provider sets cookies during checkout to process your order. You can block or delete cookies in your browser settings, though parts of the site may then not work.
